Information we collect
We collect only the information reasonably needed to respond to enquiries, provide our services, manage client relationships and run the business.
Enquiries and business contacts
- Your name, organisation, job title and contact details.
- Information you include in an email, contact form, telephone conversation or project brief.
- Records of our correspondence and meetings.
Client and project information
- Information needed to prepare proposals, contracts, creative work, media plans and campaign activity.
- Names and contact details of relevant client personnel, suppliers and project partners.
- Materials you provide for a project, which may include photographs, recordings or other content containing personal information.
Financial and administrative information
- Client identity, billing address, invoices, payments and transaction records.
- Information required for accounting, taxation and legal compliance.
Website information
- Technical information such as IP address, browser, device and server-log data.
- Analytics, advertising and cookie information where those technologies are enabled and the required choice or consent has been obtained.
We normally receive information directly from you or from the organisation you represent. We may also receive business contact information through a referral, project partner or publicly available professional source.
How and why we use information
We use personal information to:
- respond to enquiries and take steps towards entering into a contract;
- prepare proposals, deliver projects and manage client relationships;
- communicate with clients, suppliers, media owners and production partners;
- issue invoices, maintain accounts and meet taxation and legal obligations;
- protect our website, systems and business from misuse or security threats;
- understand website and advertising performance where permitted; and
- establish, exercise or defend legal rights.
Depending on the circumstances, we rely on one or more of the following lawful bases: taking steps at your request before entering into a contract; performing a contract; complying with a legal obligation; our legitimate interests in operating and protecting the business and providing effective services; or consent where the law requires it, including for certain cookies or marketing activities.
We do not sell personal information.
International processing
Some technology providers and project platforms may process information outside the United Kingdom. Where personal information is transferred internationally, we rely on the safeguards required by UK data-protection law, such as adequacy regulations or approved contractual protections, as applicable.
How long we keep information
We do not keep personal information for longer than it is reasonably needed.
- Preliminary enquiries that do not become client relationships: normally up to 24 months.
- Active client and business contacts: for as long as the working relationship continues and the information remains relevant.
- Project and contractual correspondence: for as long as needed to administer the work and, where appropriate, for up to six years afterwards to deal with contractual, legal or insurance matters.
- Accounting and tax records: normally at least six years from the end of the company financial year to which they relate, or longer where the law requires.
- Telephone contacts: removed when they are no longer needed for the business relationship.
- Website security logs: retained only for the period reasonably required for security, troubleshooting and hosting administration.
We may retain particular information for longer if a dispute, legal claim, regulatory enquiry or other lawful reason requires it.
Your rights
Depending on the circumstances, you may have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct inaccurate or incomplete information;
- ask us to delete information;
- ask us to restrict how information is used;
- object to processing based on legitimate interests or to direct marketing;
- receive certain information in a portable format; and
- withdraw consent where consent is the lawful basis.
These rights are not absolute and may be subject to legal exceptions. We may need to confirm your identity before responding. There is normally no charge for making a request.
